Program Manager (Portfolio Marketing)
Job Description
The Program Manager will coordinate project execution and task management for the Portfolio Marketing team using Agile methodology. This role focuses on ensuring seamless collaboration with internal teams and external partners through systematic project management, Monday.com administration, and operational process optimization. The Program Manager will support strategic initiatives through tactical project coordination and workflow management, enabling the creative team to focus on high-impact strategic content development while maintaining operational excellence across all portfolio marketing initiatives.
We are flexible with respect to geographic location, and the ideal candidate will be comfortable working remotely/work from home within the US or be based from Bethesda, MD office.
Primary Duties:
Agile Project Management:
Implement and manage Agile/Scrum methodology for all Portfolio Marketing team projects and cross-functional initiativesFacilitate daily standups, sprint planning, sprint reviews, and retrospectives to ensure project momentum and continuous improvementCoordinate project execution across internal teams (messaging, analytics, offers, creative) and external partners (agencies, freelancers)Monitor project progress using Agile metrics and proactively address roadblocks to maintain timeline adherence and quality standardsMonday.com Platform Management:
Administer Monday.com workspace for Portfolio Marketing team, ensuring accurate project tracking, capacity management, and stakeholder visibilityTrain team members and external partners on Monday.com best practices, workflows, and optimization techniquesCreate and maintain project templates, automation rules, and comprehensive reporting dashboards for leadership visibilityIntegrate external partners (RMD agency, freelancers) into Monday.com workflows and ensure seamless project handoffsProcess Coordination & SOP Development:
Support development and implementation of Standard Operating Procedures for team workflows, stakeholder engagement, and project deliveryCoordinate systematic communication between Portfolio Marketing team and cross-functional stakeholders (sales, partnerships, events)Maintain operational calendars, project timelines, and ensure proactive stakeholder alignment on deliverables and milestonesFacilitate process optimization initiatives to improve team efficiency, reduce bottlenecks, and enhance project delivery qualityCommunication & Reporting:
Prepare regular project status reports, capacity analyses, and performance metrics for leadership and stakeholdersFacilitate cross-functional project alignment meetings, stakeholder updates, and strategic initiative communicationTrack project metrics, team performance indicators, and provide data-driven insights on capacity optimization and workflow improvementsSupport strategic initiatives through organized project documentation, follow-through, and systematic communication protocolsMinimum Qualifications:
Bachelor's degree in Business, Marketing, Project Management, Operations, or related field3-5 years experience in project management, program coordination, or operations role with demonstrated successMandatory: Agile/Scrum certification (CSM, PSM, or equivalent) OR demonstrable experience successfully managing Agile projectsRequired: Advanced proficiency in Monday.com OR extensive hands-on experience with similar project management platforms (Asana, Wrike, Basecamp, Jira)Strong organizational and communication skills with exceptional attention to detail and ability to manage multiple concurrent projectsExperience coordinating projects across multiple teams, departments, and external partners in fast-paced environmentsPreferred knowledge, skills, and/or abilities:
Marketing, creative, or content production industry project management experienceExperience managing agency relationships, vendor coordination, and external creative production workflowsKnowledge of marketing automation platforms, CRM systems, and creative production timelinesUnderstanding of content development processes, creative workflows, and cross-functional marketing operationsExperience with remote team coordination, digital collaboration tools, and distributed project managementFamiliarity with capacity planning, resource allocation, and team performance optimizationPhysical Requirements:
Sitting for prolonged periods of time. Extensive use of computers and keyboard. Occasional walking and lifting may be required.
